1. Data controller

2. What data we collect
- Identification and contact details: name, ID document, phone number and email address.
- Appointment and dental care records, including the health information required for your treatment (sensitive data).
- Billing details, where applicable.
- Website usage data (see the Cookies section).
- The messages, voice notes and files you send us on WhatsApp, your WhatsApp profile name and, if you are in the clinic's WhatsApp contacts, your name and number.
3. How we use your data
- To schedule, confirm and manage your appointments.
- To send reminders, confirmations and appointment notices by WhatsApp and/or email.
- To provide and document your dental care.
- To meet legal, accounting and tax obligations.
- To improve our services and patient care.
4. WhatsApp: reminders, messages and virtual assistant
To send you reminders and let you confirm, reschedule or cancel your appointment, we use the WhatsApp Business platform (from Meta Platforms, Inc.). The messages you send us on WhatsApp, including voice notes, are stored in our patient system so we can help you and so reception can see the full conversation.
To reply to you at any hour, we may use a virtual assistant that answers questions about the clinic and helps you request an appointment. It always tells you it is an assistant, you can ask to talk to a person, and it does not give diagnoses or medical recommendations. Voice notes may be transcribed to text so the assistant and reception can read them.
You can stop receiving reminders at any time by writing to info@endodontics.com.sv or by replying to the message.
5. Legal basis for processing
We process your data on the basis of your consent, the care relationship you request from us, and compliance with the legal obligations applicable in El Salvador, including the Personal Data Protection Act.
6. Who we share your data with
We do not sell your data. We share it only with providers that help us operate, and only so they can provide that service to us:
- Meta Platforms, Inc. (WhatsApp Business), to send and receive messages; Meta also processes that data under its own policies.
- DigitalOcean, LLC, where our patient system is hosted.
- Anthropic, PBC, which provides the artificial intelligence behind the virtual assistant.
- ElevenLabs (Eleven Labs Inc.), which transcribes voice notes. We send it only the audio, without your name or phone number.
- Sentry (Functional Software, Inc.), which logs technical errors in the system.
- FacturaLlama, which issues electronic invoices (DTE) to the Ministry of Finance.
- Web3Forms, for requests submitted through the appointment form, and our email provider, for those requests and to send you confirmations and reminders.
Some of these providers process data in the United States. We also share data with authorities when the law requires it.
7. Retention
We keep your data for as long as you are a patient and for the period required by legal obligations and clinical record retention. After that we securely delete or anonymise it.
8. Security
We apply reasonable technical and organisational measures to protect your data: access control, encryption in transit and backups.
9. Your rights and how to exercise them
You may request access, rectification, cancellation (deletion) or object to the processing of your data, as well as withdraw your consent or ask us to stop sending reminders. Write to info@endodontics.com.sv stating your request; we will reply within the timeframes set by law.
To request that we delete your data, email info@endodontics.com.sv or message us on WhatsApp at +503 7678-8897 with your name and the number you messaged us from. We delete conversations and any data the law does not require us to keep.
10. Minors
Data relating to patients who are minors is handled through their mother, father or guardian, who authorises the care and the reminders.
11. Cookies and site analytics
This site uses Google Analytics 4 (to measure visits and clicks on the WhatsApp button) and the Meta pixel (to measure our Facebook and Instagram campaigns). The Meta pixel does not start until you interact with the page. Neither tool receives what you type into the appointment form; that form is processed by Web3Forms, which delivers your request to us by email. You can block these tools in your browser settings or with a blocking extension; the site works the same.
12. Changes to this policy
We may update this policy. Any change will be published on this same page, showing the date it was updated.
